Ten tips to plan the perfect event

Whether your event is stopping at a trade show or launching a supercar, planning, preparation and good management will help ensure your event runs smoothly and is a success.

1. If possible, try to visit the venue beforehand, ideally when there is a similar event, and gain an understanding of how the venue can work for you. If you need power for your stand, make sure you're close to the plugs. If you need a computer, large screen, running water, or kitchen, make sure your location is suitable for this. It will not be convenient to have long cables or pipes that cross the main roads. Consider where the high volumes of traffic will be: is it near the entrance, near the refreshments, near the exit? Try and make sure you are in a high traffic area as it is not good to have the most exciting booth with the best products if no one can find it.

2. Instead of organizing the event yourself, you may want to leave the design and construction of the exhibition to professionals and employ an event agency. An experienced event agency will be able to help you with everything from banner design to hiring additional staff. For the launch of a product, event management is recommended, since the event agency can manage all aspects of the event, from inviting VIPs to obtaining catering zoetermeer.

3. The type of event and the type of product or service being promoted will help to determine the type of display stands required. For some events, a table and some brochures will suffice, while for other events and products it will be much more specialized support could be more appropriate.

4. Your product or service can benefit from being displayed on an exhibition stand made to look like a kitchen or a child's bedroom. You can also create a model of part of a hospital room, or a cruise or other ambitious design if necessary. Products become more attractive if they are "onsite," as visitors can see how they look and how they can be used. Products such as windows, decorating supplies, curtains, and door handles can be displayed using various "walls" or "doors," allowing different examples to be displayed. Consider using grass, artificial snow, carpet, or wood as an unusual floor to make it more realistic.

Rather than trying to design and manufacture your own exhibition stands, hiring a specialist stand contractor will allow you to ensure that the stand is suitable and meets your exact requirements.

5. Consider providing chairs or stools if visitors are expected to see a demonstration, or if the product takes time to manufacture or explain. If visitors can sit down over a cup of coffee or watch a presentation on a big screen TV in no rush, they will appreciate it more.

6. There are many opportunities to use the company logo and contact details, from floor mats to carrying bags, from napkins to banners. With a little imagination, your logo and message could be seen by all visitors to the exhibition.

7. Having separate recycling bins and recycling facilities for paper, cardboard and plastic will ensure that the booth is tidy at all times. Making sure food and drink are arranged after use, disposing of wrappers and cups, as well as keeping surfaces and floors clean will help make your booth look professional. Regularly fill the brochure shelves and make sure there are enough product samples and company information available. People may walk past your booth, thinking you have turned in all your brochures and have nothing left to see.

8. Knowing your product, the market, and your competition can give you an advantage. Visitors may not be familiar with your brand, product, or industry. Some visitors are naturally very curious and will want to know more. You can turn one of these visitors into a customer.

9. Even insignificant gestures like a bowl of candy or a tray of drinks can help make your booth more popular. Helpful companion gifts such as key chains, pens, rugs, umbrellas, and coasters are likely to be used, and will help keep your brand and product fresh in people's minds long after the show.

10. Depending on the type of event, a free prize draw and a mailing list are additional methods of obtaining new leads. Special "show only" offers can help drive sales and ensure your brand is well publicized.
